Chapter News You Can Use January 28, 2009

Dear Leaders,

Please be sure that your treasurers are know about the Tax Chat coming up next week. If for any reason they are not able to attend they can submit their questions to me directly before chat time, and I will be sure they are answered. I will distribute a transcript of the evening’s chat within a day or two.

I spoke with Sean Smith the HLAA Controller, and he is looking forward to working with the chapters and assisting with tax questions.

  • Convention Graphics available for newsletter and local flyers

We have had many requests for graphics for the Nashville Convention. Several are available for
download on the leadership support page. If you need help with inserting or resizing the graphics to fit your newsletter or flyer, there are instructions on the leadership support page under “computer tips for leaders”. (From the main page of the HLAA website click Locate Chapters then click Leadership Support.)

  • Convention registration for chapter delegates

We are having a wonderful response to the “chapter delegate” registration for the Nashville Convention. Many have registered already. If you have not registered or need more information, the Q & A document about Chapter Delegate registration is posted and available for download on the leadership support page.

Activities are planned for the chapter delegates. Delegates will be recognized and welcomed at the convention opening session. Each delegate will have a special ribbon/sticker for their badges identifying them as a chapter delegate. There will be a special meeting of the chapter delegates on Saturday in the chapter development room. National staff will be available for consultations in the chapter development room throughout the day. Then, of course, delegates will not want to miss the Awards Ceremony (breakfast is served) on Sunday morning.

Bring copies of your newsletters, brochures, flyers and displays to show off in the chapter development room. We will have tables for the items you wish to share.

  • Newsletter Editors Yahoo group growing

Stephen Frazier, NM and Judy Martin, FL, moderate this very helpful list serve for newsletter editors. The list is growing and many are benefiting from the great advice and suggestions they glean from other chapter newsletter editors.

HLAA newsletter editors will want to be on this list serve so please pass this information on to then so they may join. http://groups.yahoo.com/group/HLAA_Newsletter_Editors/

There will be a meeting for newsletter editors and publicists at the Convention.


  • Reminder -Online Tax Chat planned

I do not have the names or contact information for your treasurers so please pass this email on to him or her as soon as possible.

All chapters with a Federal Tax ID number (see definition below*) will need to file some type of tax return. Some will need to complete the 990EZ or the 990 forms. These forms have changed for the tax year 2008. The IRS has offered online mini courses to explain the new forms. The website regarding the new forms and mini online courses is: http://www.irs.gov/charities/article/0,,id=201398,00.html

The online mini courses may be helpful but they may also be confusing. HLAA national is happy to provide some professional help that will be specific to chapters and state offices.

You may apply for an EIN in various ways, and now you may apply online. This is a free service offered by the Internal Revenue Service. You must check with your state to make sure you need a state number or charter.

**HLAA Chat room
To get to the HLAA chat room, from the main page of the HLAA website click the green chat room box on the right hand side.

• There is no speech in the chat room. All communications are typed by those participating. Both the speaker and the guests will type their questions and answers.
• You do not need to register for the chat room. You do need to log in and provide a name or
nickname.
• There are computer system requirements so I recommend that you try to access the chat room
before chat night to see if you are able to enter. You may have to update your browser or java
software. It is best to check beforehand to allow plenty of time to make any needed updates.
• If you are not able to attend the chat on Feb 3, 2009 you may submit your questions in advance
here: http://www.hearingloss.org/Community/askExpert.asp.
• There will be a transcript available (usually within 24 hours) it will be posted on the leadership support page.

Dear Leaders,

I have been using Constant Contact for the Chapter News You Can Use e-newsletter. There have been some problems associated using Constant Contact:
  1. Not everybody is on the list.
  2. We can reach more people with regular email.
  3. The news did not post to the leaders list.
  4. i was not able to archive the newsletter for you.

I will be using regular email from now on. I plan to go back and prepare archive versions of the previous issues in this format. There will be a link on the leadership support page when they are available. I will let you know when that is ready.
